Privacy Statement

1. Introduction

This privacy notice explains how we collect, store, and process your data. When you purchase products or services from ACE Furniture, we handle your personal data in line with the General Data Protection Regulation (GDPR) 2016.

To ensure accuracy, please keep your information up to date. If anything changes, kindly update us using the email address below.

Data Controller: Ace Furniture, 6 St Mark’s Road, St James Industrial Estate, Corby, NN18 8AN.
Contact: sales@acefurniture.uk.com

2. Data Collected

We collect, store, and process various types of data including:

  • Identity data, such as full names and titles of individuals listed on quote requests, orders, and delivery details.

  • Contact data, including invoice addresses, delivery or site addresses, email addresses, and phone numbers.

Importantly, we do not collect, store, or process any sensitive data as defined by GDPR.

3. How We Collect Data

Primarily, we gather data directly from you through quote requests, order confirmations, delivery confirmations, phone calls, emails, and letters.

4. How We Process Collected Data

We only process your data when there is a lawful reason to do so. These reasons include:

  • Fulfilling our obligations under any sales contract between us.

  • Complying with legal or regulatory requirements.

  • Protecting our legitimate interests.

Aside from the delivery information shared with our sub-contracted delivery team (see section 6), we do not share your data with third-party partners. Generally, our data processing focuses solely on fulfilling customer orders.

Moreover, we keep your data for as long as there is an ongoing customer relationship. Meanwhile, accountancy data is retained for the statutory period mandated by UK law.

5. Your Legal Rights

Under certain circumstances, you have the right to rectify, erase, restrict, or object to our processing of your data if it is incorrect or unfair. Additionally, you can lodge a complaint with the UK Information Commissioner’s Office (ICO) if you feel we have not handled your personal data properly.

To exercise any of these rights, please email us at sales@acefurniture.uk.com.

You will not be charged to access your personal data or exercise your rights, unless your request is clearly unfounded, repetitive, or excessive. In such cases, we may charge a reasonable fee or refuse the request.

Furthermore, we may ask for specific information to confirm your identity and ensure your data remains secure. This helps us respond to your request efficiently.

6. Disclosures of Your Personal Data

We only share your personal data when necessary to fulfil our obligations:

  • We provide delivery information to our sub-contracted delivery company solely to complete your orders.

  • We share data with HM Revenue & Customs, regulators, and other authorities as legally required.

Notably, our delivery subcontractor deletes all delivery information within one month after delivery completion.

7. Marketing

From time to time, we may send marketing material related to your previous purchases. We only contact people who have opted in via our website, shown interest in our products, or where we believe there is a legitimate interest.

If you wish to stop receiving marketing messages, you can unsubscribe anytime by emailing sales@acefurniture.uk.com with your request.

8. Data Security

We have implemented robust security measures to prevent your personal data from being lost, accessed, used, or disclosed without authorization. Access is strictly limited to employees, agents, and contractors who need it to perform their work. They only process your data under our instructions and maintain confidentiality.

If a personal data breach is suspected, we will act promptly to follow legal procedures and notify you and relevant regulators as required.

9. Data Retention

We retain your personal data only as long as necessary to meet the purposes for which we collected it, including legal, accounting, and reporting requirements.

When determining how long to keep your data, we consider its amount, sensitivity, and the potential risks involved.

By law, we retain basic customer information—including Contact, Identity, Financial, and Transaction data—for six years after you cease to be a customer. To allow for any last-minute requests, we keep this data for seven years.
